Extend the “Document Control” module to actively plan and record the qualifications of your employees. Our solution “Training Management” does it for you. Create various qualifications profiles (target qualification) and assign the relevant documents to them. Plan individual trainings and training measures such as “Read and understood tasks”, “Face-to-face trainings” and “External trainings” and combine these with the electronic exam.
At the push of a button, the qualification matrix informs you about the current qualification level of your employees based on qualification certificates (actual qualification). If required, it is also possible to create individual training measures and repeat intervals for your trainings. The electronic learning control also allows you to create individual question catalogues. Both right and wrong and multiple choice tasks can be created here. Having successfully completed the learning control, the qualification level of your employees is automatically updated and displayed in the qualification matrix.

In a qualification matrix, the following qualification status represantations are available:

If Training Management is activated, you as an employee see the ribbon My QM with various filters and views for all trainings.

Frequently asked questions (FAQs) about Training Management
Different roles are defined in Training Management. Access to the qualification data is restricted via these roles. Individual employees can only view their own qualifications.
After a document is released, the relevant training coordinators are given a task to assign the document to the employee profiles that need to be trained on the document. After assignment, these employees receive a training task.
The document can be sent for information or as a read-and-understood task with confirmation of understanding by entering the electronic signature. Moreover, it is also possible to assign a questionnaire and a face-to-face training.
You configure that a participant in document circulation creates a catalog of questions for the document. Multiple-choice questions and questions with yes/no answers can be created. Optionally, select how many of the questions are randomly displayed and how many of them must be answered correctly in order for the employee to receive their training certificate.
If a profile contains employees who do not have access to the system (offline users), the person responsible for training is given the task of planning the training as classroom training. The training documents are attached to the task for printing. After the training has been completed they are returned with signatures. By means of the printed code, the training is registered in the system as completed and the employees receive their proofs of qualification.
Within the Training Management, different repetition rhythms are possible (e.g. annually, every two years …). In the qualification matrix, a colored marker is used to indicate if the proof was not provided in the current period.
The current qualification level is displayed in a matrix, in which the evidence is displayed with colored icons. The overview is available per employee profile and per employee. The employee can view his own matrix himself.
Additional qualifications on topics such as data protection, hygiene knowledge and others that do not relate to a QM document are created as additional qualifications. These are created by the Training Management manager and assigned to the employees or profiles. Blank training courses (e.g. an external training) can also be recorded here, which are later replaced by an actual qualification.
The Training Management has its own audit trail. Changes to questionnaires, proofs of qualification and profiles as well as training courses are documented here.
For the completion of e‑learning courses, we offer a web-based platform through which e‑learning content is provided and assigned to employees. Upon completion of the interactive exams, the employee receives a training certificate. In the next step, e‑learning will be integrated into the Training Management.
